  • Contact & Inquiry Forms: When you submit a contact form or request a strategy call, we collect your name, business name, email address, phone number, and any project details you voluntarily provide.
  • Scheduling Information: When you book a call through our Cal.com scheduling widget, we collect your name, email address, and selected appointment time.
  • Payment Information: If you purchase a service or pay an invoice, payment details (credit card number, billing address) are collected and processed directly by Stripe. Rook Media LLC does not store or have access to your full payment card details.
  • Communications: If you contact us by email, we retain those communications to respond to your inquiry and improve our service.
  • Usage & Technical Data: We may automatically collect standard technical information such as your IP address, browser type, referring page, pages visited, and time spent on the site via Cloudflare and any analytics tools we use. This data does not directly identify you.
  • Cookies: Our website uses cookies and similar tracking technologies as described in the Cookies & Tracking section below.

How We Use Your Information

Information we collect is used solely to operate and improve our business. Specifically, we use your data to:

  • Deliver Our Services: Set up, manage, and support websites, hosting, SEO, and ongoing maintenance for our clients.
  • Respond to Inquiries: Follow up on contact form submissions, strategy call requests, or other communications you initiate.
  • Process Payments: Handle invoicing and billing for services rendered, facilitated through Stripe.
  • Schedule Appointments: Confirm and manage strategy calls and client meetings via Cal.com.
  • Communicate Updates: Send project updates, invoices, or service-related notices to active clients. We do not send unsolicited marketing emails.
  • Improve the Website: Analyze aggregated usage data to understand how visitors interact with our site and identify areas for improvement.
  • Legal & Compliance: Maintain records as required by applicable law or to defend against legal claims.

We will never sell, rent, or trade your personal information to third parties for marketing purposes.

Third-Party Services

We use a small number of trusted third-party services to operate our business. Each service processes certain data as described below. We encourage you to review their respective privacy policies for full details.

Stripe

Payment processing for invoices and service fees. Stripe collects and processes your payment card details under their own PCI-compliant infrastructure. Rook Media LLC never stores raw card data.

Google Workspace

Business email and communication. Emails you send to Rook Media are received and stored via Google Workspace. Google's privacy policies apply to data processed through their platform.

Cal.com

Appointment and strategy call scheduling. When you book a call, Cal.com collects your name and email to create the appointment. Their privacy policy governs data stored on their platform.

Cloudflare

Website hosting, DNS, and security. Cloudflare processes network traffic to deliver our site and protect against attacks. They may log IP addresses and request metadata per their privacy policy.

Beyond the services listed above, we do not share your personal information with any additional third parties unless required to do so by law or to protect our legal rights.

Cookies & Tracking

Cookies are small text files stored on your device that help websites remember your preferences and understand how you use them. We use the following types of cookies:

  • Essential Cookies: Required for the website to function correctly, such as maintaining session state and enabling security features. These cannot be disabled.

  • Delegating payment processing entirely to Stripe, which maintains PCI DSS compliance.
  • Limiting access to client data to only those personnel who require it to deliver services.
  • Using Google Workspace, which provides enterprise-grade security for business communications.

No method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your personal data, we cannot guarantee absolute security. If you believe your data has been compromised, please contact us immediately at drook@rookmedia.agency.

Data Retention

We retain personal information only as long as necessary to fulfill the purposes outlined in this policy or as required by law:

  • Prospect & Inquiry Data: Retained for up to 12 months after the last interaction if no engagement occurred, then deleted or anonymized.
  • Active Client Data: Retained for the duration of the client relationship and for a minimum of 3 years afterward to satisfy legal and accounting requirements.
  • Payment Records: Financial records may be retained for up to 7 years in compliance with applicable tax and accounting regulations.
  • Email Communications: Retained as needed for business continuity and legal documentation purposes.
  • Analytics & Usage Data: Aggregated and anonymized; retained indefinitely as it contains no personal identifiers.

When data is no longer needed, we will delete or anonymize it securely. You may also request deletion of your data at any time (see Your Rights below).

Depending on your location, you may have certain rights regarding your personal information. These may include:
